Loudoun County SharePoint Introduction

The Loudoun County Financial Systems Assessment project was undertaken to evaluate the current state of Loudoun County's financial, human resources, tax revenue, and real property assessment legacy systems. During this engagement, Digicon was responsible for:

  • Facilitating assessment teams comprised of functional and technical resources responsible for the operation and maintenance of the affected legacy systems.
  • Identifying core processes supported by the legacy systems and any current or forecasted constraints associated with system use.
  • Analyzing the legacy systems, including the technical architecture, operational/maintenance considerations, and technical concerns.
  • Prescreening and identifying potential Commercial Off-the-Shelf (COTS) vendors based on the specific business needs identified from the Assessment Team's analysis results.
  • Conducting a cost/benefit analysis to quantify costs and benefits associated with a recommended future system investment strategy.
  • Documenting findings, risks, and prioritized recommendations for action, including a proposed timeline and estimated costs related to modification or replacement of each affected legacy system.

Problem

Loudoun County had no means for cross functional sharing of information between internal government groups and no shared network with the public school system. As the Enterprise Resource Planning (ERP) project required these groups to work together and share information, members were resorting to e-mail and paper.

To solve the problem, Digicon Technical Services created a SharePoint environment for Loudoun County, and created and distributed training guides and granted access to all project participants. Digicon trained the end users on how to store and share documents.

Result

Using SharePoint as the collaboration tool enabled the County to have a single point of control for all project documents, with change control on all documents, enabling project participants to review the work of others, and provided easy access for county management to review project artifacts.
